Please read through this page entirely.
All meet entries are submitted by e-mail to the team's Meet Entry Coordinator (Andrew Jesaitis), by using the mail links provided below. Deadlines for meet entry submittal are posted on the website and accessed through the Meet Info Page.
The first step is to read the meet description, which can be found in a few places:
· The Adirondack Swimming Website
· The Starfish website under Meet Info Page (Click on link to Meet)
· On the Starfish website calendar shown on the front page. (Click on the day with a meet, and you will see a link to the meet description)
The meet description includes important information like the location of the meet, the warm-up schedule (it’s important to know when to arrive at the pool) and also the events offered in each session. The description will also include the maximum number of events that you are allowed to swim per session. Select the desired events. Feel free to consult with your coach if you have any questions.
The second step is to click on the link below for your coach. Your email window will automatically pop-up with address line filled in. The email should be addressed to 3 people; your squad coach, the Head Coach Tom Steuer, and the team email (Meet Entry Coordinator).
The third step is to fill out the body of the email. The body will be the meet entry, and should include the swimmer’s name, gender and age, followed by a list of the event numbers and descriptions.
For Example:
Meet: Hawks Summer Invitational
Childs Full Name: Betsy Ross
Age: 12
Event 3 11-12 50 Free
Event 7 11-12 100 Back
Event 11 11-12 50 Breast
Event 15 11-12 100 Fly
You do not need to include a time for each event. Seed times are automatically established based on best times in the database. The best time might be a time from the previous season. If the previous season was a short course season, and the meet entry is for a long course meet, the best time might be a converted time from the short course season. If the swimmer has not swum the event before, then speak to the coach to get a good estimate of a seed time. One way to do this is to include a note to your squad coach in the meet entry requesting a time for the event in question.
Squad coaches are as follows:
Senior meet entries: Coach Tom
Platinum meet entries: Coach Kate
Gold meet entries: Coach Dave
Niskayuna Silver meet entries: Coach Mike
Siena Silver meet entries: Coach Kim
Niskayuna Bronze: Coach Todd
Siena Bronze: Coach George
Developmental meet entries: Coach Emily
Once the entries are received, you should receive an email from Andrew acknowledging receipt. If you do not receive a response within a couple of days, please send another message or call, Andrew.
Checking your Meet Entry
It is a good idea to check your meet entry on the Starfish website. Team Manager Online is a useful tool that contains meet information and swim times for each athlete on the team. If you click on “Entries” on the top toolbar, you will see a list of each meet that the team has entered. Select the meet and check that your swimmer’s meet entry is there, and that it is correct. If there is any discrepancy, email Andrew ASAP. Note that Team Manager Online is password protected. Please email a board member or webmaster for that information.
Other Meets
Some families will want to attend meets other than those on the team list. Generally you should enter those meets directly through the meet organizers. If you provide us with the results after the meet we can also update your times in the database. Generally if you bring a diskette with you to the meet the hosting team will provide you with results.
Paying Meet Fees
Meets are not free. The Meet Information will include the cost to enter the meet. There is typically a fee for each event entered (~$3.25 per event) plus a $1 surcharge. In addition, the Starfish pays the fee for relay teams, which is $6 per relay team. In order to cover this cost, the team charges an additional $1 to each swimmer entered in the meet.
Families can pay meet fees in 2 ways:
1. Send a check addressed to the Albany Starfish whenever you enter a meet.
2. Set up a meet account with the club treasurer. Send a check addressed to Albany Starfish that would cover meet fees for a period of time or the entire season. A good estimate for annual short course meet fees is $200. Your meet fees will be drawn from this account.
